Tenders that are anything but

Tenders

I’ve had enough ..

The call came through directly to us that we were invited to tender for supplying social media training services across the country for this state body (I won’t mention who it was for the  moment).

Alarm bell number one..

Why wasn’t this put out to tender on the normal etender website I wondered?

I get quite suspicious when this happens – isn’t there a normal procedure for this?

Alarm bell number two..

We received the specification for this training and I was really surprised by how specific it was and by some of the language used. The objective was outlined clearly and it was up to the service providers to provide a solution. The thing is the ‘solution‘ was nearly fully mapped out in the specification.

One of the challenges for us was that the prescribed ‘solution’ would not achieve the required objectives.

We were well qualified to deliver a comprehensive solution for this organisation and we have huge relevant experience in the area so we went about writing a plan. This work took me the best part of a day to complete.

Alarm bell number three..

There was a very unusual item in the specification advising that the provider should budget “in a range of between €21,000 and €24,000“.

Why would a state organisation provide anyone tendering with a price guide? This was particularly surprising when the published ‘marking criteria‘ included cost.

Is it not up to each provider to assess the need and then provide a budget to fulfil this need?

Our proposal ..

We completed our proposal and included a more comprehensive training schedule than what was prescribed in their specification, clearly explaining why less training would not achieve their objectives.

I priced this using our normal rates and I was surprised that despite the heavier workload our budget came in a few thousand under the €21,000 – €24,000 price range as indicated.

We submitted our proposal and crossed our fingers – this was a really well thought out substantial and comprehensive evaluation and training plan.

Just like every proposal you work on, you end up investing your time and a little part of yourself in them and you become hopeful – on this proposal we were definitely hopeful.

Alarm bell number four – time to evacuate the building!!

We received our ‘Dear John‘ letter within days of submitting the proposal and we also received our score compared to the winning proposal based on the evaluation criteria.

On ‘methodology and fit for purpose‘ we scored 1,800 out of 3,000.

Surprise,surprise …the winning provider scored a full 3,000!!

Our methodology took their specification and went deeper and more comprehensive – I could feel the rage starting to build inside me.

A score of 1,800 means we barely know what we are doing ..

On ‘quality and balance of resources proposed‘ we scored 2,800 out of 3,500.

Surprise, surprise (once again!!)…the winning provider scored a full 3,500!!

Wow …they must be brilliant. Like those kids in school who get 100% out of 100% for everything.

The rage was starting to brim over … the cat, the dog, the laptop, the office door – nothing was safe (don’t worry I just cursed a lot!)

On ‘cost‘ we scored 3,500 out of 3,500..Jackpot!

Surprise, surprise …we beat the winning provider because our costs were below what was prescribed in the tender document. My accounting training was starting to pay off!

Rules and regulations..

I feel sorry for the government agencies as they are obliged to put things out to tender even when they might have a preferred provider. This ‘technically‘ means there is always 100% transparency, fairness and honesty and equal opportunity for everyone.

90% of the providers I have met have given up on this tender process because they believe it is a farce and a colossal waste of time and anything but fair.

In the commercial world we can work with whoever we want and when we want even if providers are more expensive – this makes business easy as we can just get on with things and not be forced into a painful ‘tender’ process every single time we want to get our business done.

However, these rules are in place and when these agencies are obliged to put things out to tender this commits anyone (fools like us) who is interested in the work to spend a lot of time working on proposals.

If the process is genuine we will play the game and put our best foot forward and let the best crew win.

When it is not and we are being used unfairly just so that the agency can ‘tick the box‘ on their technical obligations it is a much different manner.

What can we do??

This time I have had enough and I am complaining, freedom of information, the whole nine yards and I don’t care about the consequences.

The dilemma we all have is that ‘we don’t want to be seen as the troublemakers‘ and if we complain then we run the risk of not getting some crumbs from the table down the road.

We pay our taxes, which pays for these state agencies and if these rules are in place I won’t put up with anyone wasting our precious time just so they can tick a box and give the business to their favoured supplier.

I’ll let you know how this one goes…

Update !!

A lot of people have contacted me since I published this post.

Many are irate and have given up on the tender system as they feel it is anything but. Some have criticised me and told me that we are naive to expect any of this to be a chance of winning business – ‘play the game‘ and get in there before things go to tender, which is how you win things I am told.

I desperately want to believe that this system can work fairly and that it is a valid way of winning business.

With that rationale I did officially complain and as expected I didn’t get very far..

There were explanations

Performance – the winning company apparently committed to seven times more activity than what was outlined in the brief. I can’t see how this would be necessary and I struggle to see how the teams would be free to attend that much training. We will keep a careful eye on that one.

Budget – they told me that it is their “normal practice” to give a budget guideline to be fair to everyone tendering. I don’t think I have seen this in a tender, at least not the ones we have entered.

The unexplained

It turns out another company who tendered for the work scored exactly the same as we did on the criteria except for the cost element. An incredible coincidence …what do you think?

They contacted me when they saw this post and have decided not to complain as they want to make sure that they do get those ‘crumbs from the table‘ the next time they might be going.

Maybe they are right!

Jumping to the wrong conclusion!

Man in overalls

My brother-in-law tells me a great story about a day that he was off work to do some painting in the house. He was wearing old clothes as he went about his chores.

Later that day he had to pop over to Douglas on an errand and while over there he popped into a show house in a new housing development that they had been interested in.

He was looking at the new ‘top of the range‘ four bedroom  detached show house. The salesman for the development took one look at him in his scruffy painting gear and without giving him a chance to speak he politely led him out the door and pointed down the street and told him the where the three bedroom semi-detached show house was.

My brother-in-law hopped in his car and headed home to finish his painting..

We should never judge our customer on the first impression..

“Done it all before” versus a fresh perspective and sparkle

Bored Accountant

I left the accountancy practice because I knew I had gone stale, working on the same clients in the same environment and now I wanted to get stuck in and get more involved so I decided to move into industry.

I started with Moog, an American multinational at the age of 22 taking on the role of financial accountant, reporting into the financial controller.

I didn’t have experience of working for a multi-national before but I was a bright, enthusiastic qualified accountant looking for a new challenge.

For six months I was learning, soaking up this experience with fresh eyes and a new perspective and after that initial period I really got into gear and they got the best of me. The financial controller went off on maternity leave after I was there just over a year and I was asked to take on her role and mine – not a bother, I took it in my stride. When she came back I knew I couldn’t slip back to the supporting role so I looked for a new challenge.

I then took on the role of financial controller of a drinks wholesaler and manufacturer, a subsidiary of Guinness.

I didn’t have experience of working in the drinks sector before but I had worked in practice and I had been the financial controller in a large multinational. For six months I was learning and soaking up this experience with fresh eyes and a new perspective and after that they really got the best of me.

Music Store

After a few years in this role I was going stale, I was repeating myself and the job was more of the same. I had always wanted to start my own business and I loved music so I recruited a manager and opened a few music stores around the country while I still stayed working. I had never worked in the music industry before nor had I operated retail stores but I brought a fresh perspective and bucket loads of enthusiasm to this new experience.

Out of the blue I was asked if I was interested in the General Manager role, which I gladly accepted.

I didn’t have the experience of managing a large business but I was a bright, enthusiastic person with a good understanding of the company and I had a solid background in finance.

For six months I was learning, soaking up this experience with fresh eyes and a new perspective and after that period they really got the very best of me achieving the best results ever for the company.

Guinness

I then moved to Guinness in Dublin taking on a number of different roles, none of which I had done before bringing fresh eyes and a new perspective to all of them.

After three years I became the general manager of a subsidiary of Heineken bringing fresh eyes and a new perspective to the role. I really drove on the performance of the company but in truth I had done a similar role for the Guinness subsidiary and after three years I was getting bored and I should have moved on. I lasted two more years and left to join Deirdre Waldron at Fuzion, which has been brilliant.

Everyday in Fuzion we are faced with new situations and fresh challenges. We often work with new clients from different sectors and we achieve great results by bringing fresh eyes, new perspectives and enthusiasm and applying all of our collective experience and learnings to their challenges.

I have learned in my 32 years of working that to get the best of anyone in a role there must be some element of a challenge in it, something new the whole time that keeps them challenged, fresh, inspired and motivated and at the top of their game.

I have also learned that after a while of doing the same thing over and over people will get stale as that sense of challenge disappears. Despite having all of the experience and knowledge a big opportunity will be lost by not handing over the mantle to someone who knows less but has a sparkle, a freshness, a hunger and a desire to learn and take on a new challenge.

The next time you are choosing someone for a role or you are putting your project out for contract try to resist the safe temptation of going with the person or the company that have “done it all before” and instead look for the fresh perspective and grab that sparkle.

Personal branding and your Coat of Arms

There is a lot of talk these days about the importance of your ‘personal brand‘; how you always need to be aware of it, how you should project it and how you should protect it.

It is talked about in marketing circles as if it is a new thing and that it is borrowed from the world of products and companies, which all have their own branding that we can easily relate to.

The comparison to products, services and companies can be a little disturbing at first – surely we are human beings and not products (many may disagree!)? After all we have feelings, thoughts, opinions, beliefs, passions, we want to be appreciated and valued and we definitely don’t want to be treated as commodities.

If we forget about the comparison to products and companies it gets easier and we can start to appreciate what our personal brand really means. Our personal brand is our story, it is what we represent, it is what we believe in, it is what motivates us, it is who we are. If you deal with me this is what you get.

The challenge is to properly project our story so that others get what we are all about.

In ancient times the personal brand for our family was captured in our family crest or our coat of arms.

A coat of arms is described as a unique heraldic (a visual way of signifying rank) design on a shield or surcoat. A surcoat, and subsequently a coat of arms was used by medieval knights to cover, protect, and identify the wearer. The coat of arms symbolises the heraldic achievement which consists of a shield with a crest and motto.

These coats of arms came into general use by feudal lords and knights in battle in the 12th Century. By the 13th Century their use had spread beyond the battlefield to become a kind of flag or logo for families in the higher social classes of Europe, inherited from one generation to the next.

Your coat of arms or crest was effectively a way of telling a story about your family and what they represent.

Canty family crestIn the case of the ‘Canty’ crest:

  • the core blue colour in the shield represents Loyalty and Truth (good traits I’m sure you will agree!)
  • the use of yellow represents Generosity (the drinks are on me ..very true)
  • the Chevron (the upsidedown ‘V‘) denotes Protection. Apparently this is often granted as a reward to one who has achieved some Notable Enterprise (woohoo!)
  • the crescents signify one who has been ‘Enlightened and Honoured by his Sovereign’ (hmm..what did we do to deserve this?)

While this captures and projects a ‘story’ and a set of values and beliefs for my family in many ways it also sets a standard and creates an expectation about our behaviour – something that we all need to live up to.

Ironically the use of the coats of arms evolved over time and started to be used by commercial companies, which are effectively the origins of the modern logo.

Telling your story today

Today we don’t carry around a shield (just a business card..) and we don’t wear a suit of armour so communicating our story can be a little bit more challenging!

The face to face personal experience has always been the most important part of our story. How we look, how we dress, how we speak, how we behave and what we do are powerful ways of telling this story. Those who interact with us get to experience our ‘personal brand‘ up close and hopefully they will carry with them a positive version of our story.

For those at a distance our modern day coat of arms is our blog, our Facebook, Twitter, LinkedIn and other social media accounts. This is where we get a chance to show our photo, detail who we are, what we have learnt, what we have done, what we believe in and then bring all of this to life through our regular conversations and interactions.

In Ireland alone there are 1.4 million LinkedIn users. The most common activity of these users is looking at other people’s profiles. I wonder why..

Far from shore

Relaxing at sea

The sweet spot of the holidays … When you have been off for a few days, enough to have been able to come down the gears and properly switch off and far enough from going back to work so you don’t have to start thinking about it again.

This rare time, when you are far from shore is special, you start to recharge, refresh, replenish and get to know the ‘other’ you and when your head is clear all manner of things can happen. These brief moments come along just once or twice a year and before you know it, it’s time to turn the boat around and head back to land.

The question is …what are you doing with this precious time?

Branding or just Storytelling?

Jeff Bezos, CEO of Amazon perfectly summarised branding when he declared “your brand is what people say about you when you leave the room

So..branding isn’t about logos or tag lines? …it is actually what people say about you.

In that case our job as marketeers is to simply help our clients tell the story of their business, organisation, products and services effectively so that when people talk about these things they say exactly what we want them to say.

In effect we need to be great storytellers, creating memorable content that connects with our target audience in a way that they will remember positively.

Telling memorable stories takes great copy, imagery, logos, tag lines, ideas, PR campaigns, events, sponsorships, initiatives and social media activity.

When we talk to clients about the Fuzion process we try to forget about the industry jargon and instead we talk about stories:

Capture your story

It is vital that your story, the essence of the organisation is captured properly – this is an important and necessary first step. It is damaging to promote your business if this part is not right.

Whenever and wherever anyone comes across your products, services, website, promotional material, vehicles, premises and even the individuals in your team your story must be told in a way that properly reflects what you want.

Finding your story

If I look for the products or services that you offer with the help of Mr Google it is vital that you are found easily and prominently. This is the low hanging fruit!

When we build websites for our clients we make sure the platforms they are built on facilitate good search engine performance and that we include the right ‘copy’ (the keywords customers use when they search for your products or services) so they are found prominently by potential customers.

Telling your story

Every business must promote itself so that people know it exists. This is your advertising, PR campaigns, direct marketing, email marketing, events and sponsorships all designed to tell your target audience that you exist and what you do.

This must be done carefully and consistently so that the right story is always told.

Conversations about your story

We often hear that 80% of business comes from referrals or ‘word of mouth‘.

Surprisingly only a portion of these referrals will be from actual customers. Often these referrals will simply come from people who have ‘heard about you‘ somewhere along the way.

Social media when correctly used is a fantastic way to generate these referrals and get the right word of mouth going through online ‘conversations‘ and interactions.

It is also a great way to communicate the personality and beliefs of the organisation in a way that is often impossible through other communications.

Protecting your story

The last part of the process is only ever called into action when something goes wrong. We help organisations when incidents occur that have the potential of ruining the good ‘story‘ of an organisation.

The larger well prepared organisations will have predicted possible negative scenarios and will have a ‘crisis drill‘ in place to deal with these should they occur. Often you just cannot predict every possible scenario and when the wheels do fall off unexpectedly we will get the call to help when it is really needed.

What’s your story?

Every individual, business and organisation has a story to tell and this ‘story’ process works best when it is carefully executed as part of an integrated plan.

Marketing?…nah, just like the guys around the camp fire we are just storytellers!

A tribute to young mothers!

Oh no … The woman with the young baby is sitting next to me on the plane!!

My early prayers were that the weirdo in the queue who was intoxicated wouldn’t be next to me …can I take him instead?

I’ve dodged the ‘baby on the plane‘ bullet for long enough and this time it happened and this kid is a live wire. Within the first 30 seconds I am slapped by the little live wire as she jumps and hops and kicks and can’t stay still.

Deirdre gives me some early advice “avoid eye contact with the kid“. She always has something wise to say – I decide to take the advice.

The young mother who seems to be travelling alone is well equipped – her bags with all her necessary baby stuff are put down by her feet, which in a blink chews up all of the leg room in the already squashed Ryanair flight.

To calm the kid down she produces a bottle … That works for about 5 minutes, an IPad works for another 5 minutes and then we enter the ‘danger zone’. The kid is now standing, twisting, jumping and writhing and starting to make noise as she reaches for anything and anyone that grabs her attention.

I can barely move in my seat but the very talented mother can still manage to get things from her bag and put things away and still keep the contorting baby on her lap.

My god…. this is unbelievable… why would she even contemplate such a journey and the little part I’m witnessing no doubt came after struggling with luggage and buggies..why ?

Oh no ..Now comes the sniffing of the bum … please let it be a clean one for everyone’s sake – I was looking forward to a glass of wine and now I’m just praying for no smelly surprises!!

More writhing and wriggling … What happened – we have calm.

The drinks trolley arrives and the poor mother watches enviously as we order a red wine and a prosecco – I feel very guilty and want to ask her does she want a drink … she would probably think that I am a weirdo!

Is she dreaming of a time when life was less complicated? Where is she flying to? Why is she by herself?

We are flying to Wroklaw (up until a month ago I hadn’t heard of it either!) in Poland with friends for the weekend. My guess is she is living in Ireland and visiting home for a while ..maybe?

The kid is acting up again so she is down by my feet scrambling in her bags for the next rabbit … Baby’s bottle!

It’s all calm again. I spoke too soon … the bottle goes flying and hits me on the leg. At this stage I have my red wine firmly gripped to make sure it doesn’t go flying as well.

I’m already dreading the landing as I know it drives the kids ears bonkers, what if the she pukes ..more prayers

I don’t think you should be giving her a banana …I’m now fearing the worst …smelly bum, pukes and tears.

You won’t believe this … I manage to knock over my own red wine on my one pair of jeans …typical !! Sh**, f***, pi**.

My young mother politely reaches into her bag of tricks and comes to my rescue with baby wipes!!

As the plane descends the poor kid starts to cry with the air pressure and her mother holds her and strokes her head until the plane lands..phew!

As I come down the steps of the plane I see this miracle mother struggling with her bags, her buggy and her child before the next leg of her journey.

Mother , I salute you for the fantastic job you do !!

The Power of Compliments

Compliments

I was checking my emails just now and I came across a fantastic message from a contact I have on LinkedIn, which cheered me up no end.

The very lovely and very generous Valerie (Ryder) O’Hanlon had picked up on the changes I had made to my LinkedIn profile and left me a message that put a huge skip in my step.

Thank You

Not only did she pay me a compliment, which is always great to receive but she also grabbed my attention by being nice, generous and friendly – in a sweep Valerie has moved to the top of my ‘nice people to deal with online‘ league table!

If we ever have a requirement in the HR Consultancy sector we know who to go to.

Paying a compliment is a really easy thing to do but it can also be  incredible powerful.

If you see something you like, think someone has done something worthwhile, noticed they have just got a promotion then take those 30 seconds to say well done!

Try it ..if you have a compliment to give, don’t hold back

Hiding your story

Sharing your story

We were having this big battle with a client about our approach to generating press coverage for her new business.

She has a fabulous new product, with some really unique features, which she has developed herself.

While the product is really good it will compete in a world of so many other products waiting for people to notice it, trust it, buy it, use it and then having the confidence to recommend it to others.

Something that makes this product really credible and special is our clients’ personal story. Her profession for nearly 20 years and the experiences she had in that time all led her to noticing a huge gap in the market and developing a product that would fill this gap perfectly.

When prospective customers consider the product on the shelf it will be considered on its merits as they see it. If they like what they see and are convinced by the features and benefits as conveyed on the packaging they might buy it.

We believe that when prospective customers hear her story (if we ever get the chance to tell it!) and understand the experience and expertise that went behind developing the product we feel they will trust it more making that purchase decision easier.

Our dilemma with our client is that she is insisting that we don’t talk about her. She feels no one will be interested and the product is good enough to stand on it’s own merits. This personal reluctance issue is one we come up against a lot and to maximise your PR you just have to get over it.

I gave her my ‘support beam‘ speech and went to great lengths to stress that we wanted the campaign to be a maximum success and the best way of achieving this was to put our best foot forward, which did most definitely include her personal story.

It’s a battle we haven’t quite given up on yet..

Fire the secretary

The FiringI used hate dealing with my boss. From the very first minute I worked there we never gelled and I couldn’t stand it.

Every time I drove into the car park and I saw his car there I would get a pain in my stomach.

I was the financial controller of this sizeable operation and while it was a great role for my career CV it was tough going at times.

The culture was very strange as the MD used have moles everywhere running to him with selective tales about what was going on. I’m not sure if he realised it at the time but many of the cute ones used this opportunity to manipulate things for their benefit – it created a really awful atmosphere for everyone.

His secretary was the worst of all as she ran to him with everything, even things that she overheard incorrectly. Before you knew it people were being hauled into his office to answer for things that had never happened. As a result this young girl who was totally manipulated was despised in the place.

I was summoned to his office ..what’s up now??

I’m no longer happy with my secretary and I want you to get rid of her. My wife will come in and replace her for a while” I was told.

I questioned what she had done that was so wrong as I felt this was a basic piece of information that was needed before we could do anything.

Just get rid of her” I was told.

The culture at the time was very ‘macho’ – if you were a real manager and had “balls” you should be able to do things like that in your stride.

I was in the horrors. How could I do such a thing without any justification? I just couldn’t.

I never fired her and thankfully some other opportunity popped up in the organisation that she was interested in soon after that – phew!

Thankfully those ‘macho’ management bullying days are a thing of the past ….aren’t they?
